Job Details

TheAdvancement Services Manager, reportingtothe VP forAdvancement,supports themission ofUWC-USA and understands it to be fundamental to all Advancement Officeactivities. Theroleis to overseeand maintain theAdvancement Office database anddonor files, all gift processingand acknowledgement processes, mailings, and analyticaland stewardship reportsand to serveingeneral support ofthe Advancement Office.


Responsibilities include:

  1. Gift Processing
  • Process and post allgift information into the database
  • Generate documentation and reconcile with theBusiness Office
  • Generate and managegift acknowledgments and their filing
  • Generate and manage pledgeremindersand recurring gift reminders
  • Generate and send annual taxletters
  1. DatabaseEntryand Maintenance
  • Add all new constituentsto database andresearchand run update softwaretoensureaccuracyof all constituent information
  • Process event registrations and payments and record event attendanceandactions forconstituents
  • Create reports, queries,spread sheets,mailinglists, etc. and assist staffwithreport creation
  • Create and monitor systems for complyingwith GDPR
  • Ensure that all actions from data management to donor stewardship arecompleted and appropriatelycapturein thedatabase
  1. System Administration
  • Create and maintain donor filesforall correspondence
  • Regularlyevaluate and correct outdated or incorrect processingof data
  • Work with credit card processors and stock brokers to receivegifts
  • Coordinate maintenanceof officemachines
  • Complete Raiser’s Edgecertification
  1. Mailings
  • Create and print mailing lists/envelopes/letters/replydevices, etc.
  • Monitor and order supplies forsolicitations, acknowledgement and taxletters


  1. Research
  • Researchwork, higher education, andgift capacityindicators
  • Conduct general Googlesearches to inform biographical information
  • Useall research to createprospect profilesand tag donors forhigherasks
  1. Administrative Support
  • Providesupport for all Advancement Office personnelincludingorderingsupplies
  • Code and obtain approval for invoices
  • Work with student assistants


Essential Skills:


  • Four (4)years recent related experience in an office environment
  • Completion ofa recognized post-secondarycertificate or equivalent
  • Experience withafundraisingdatabase (preferablyRaiser’s Edge)
  • Excellent skills with Excel(intermediate to advanced experience with functions formanipulatingdata,formattingforreports, etc.), Word processing(including mailmerges and formattingof documents), and socialmedia
  • Abilityto producehigh-qualitywork, meet criticaldeadlines, and payattention todetails
  • Excellent interpersonal and communication skills
  • Excellent organizationaland time management skills
  • Abilityto usegood judgment inestablishingpriorities and assessingdifficultsituations
  • Ability to work with frequent interruptions
  • High degree of accuracy,discretion, and confidentialityis essential
