Job Details

Basic Functions:

Provide administrative duties for the President and CEO of the Association. Prepare meeting agendas, assemble and distribute materials for the Executive Committee and for the Board of Directors meetings. Prepare scripts for Board of Director meetings. Plan, coordinate, and manage annual Board of Directors election process. Manage appointment process for Propane Education Research Council (PERC). Also, coordinate appointment process for NPGA standing committees.

Duties & Responsibilities:

  • Manage all travel arrangements for President and CEO and Chairman of the NPGA Board of Directors as necessary.
  • Organize all logistics and materials for meetings of the NPGA Board of Directors, Executive Committee, Propane Education and Research Council (PERC) Selection Committee, chairman’s nominating committee, chairman’s orientation and other meetings as necessary.
  • Serve as the primary contact for the 145 members of the Board of Directors regarding upcoming Board meetings, updates from the President and CEO, and industry and organizational information.
  • Travel to NPGA Board of Directors meetings and Southeastern Convention and International Propane Expo to provide on-site support and guidance to CEO, Chairman of the Board, and overall membership.
  • Work closely with the officers of the organization to keep them informed of upcoming commitments.
  • Manage the election process for the NPGA Board of Directors by recruiting candidates, drafting outreach communications, ensuring the accuracy of voter lists, and announcing the final results.
  • Manage the association’s awards programs
  • Organize travel expense reports for the President and CEO
  • Coordinate committee chairman and committee member appointment process to include committee requests, approval process and notification letters.
  • Open President’s mail, sort by urgency, and distribute any outbound materials as indicated. Answer and screen calls for the President and CEO.
  • Serve as staff liaison for the Women in Propane Business Council by providing support and guidance on programming, events and training seminars.

Requirements

Qualifications: 

  • Four year college degree.
  • Three years experience working as an Executive Assistant, or scheduler, preferred.
  • Individual must be self motivated, able to juggle multiple tasks, detail and deadline orientated with excellent verbal and written communication skills.
  • Individual must be creative, analytical, personable and be member-service oriented. Proficient in Microsoft Office Suite.
  • Experience working in Association Management System databases (Impexium database a plus).
  • Prior experience working for a non-profit trade association preferred.

 Salary is competitive, based upon experience
